Job Summary

Reporting to the Director of Research and KTE, the Research Grants & Awards Coordinator is responsible for providing administrative and support services to the Research Lead, Director of Research & KTE, and Chief Research & KTE Officer. Key responsibilities include assisting  with the annual research competition as needed, coordinating and supporting the Citizen Reviewer group for the annual research competition, updating the research competition online platform and internal database, preparing  quarterly payments for grants and awards, tracking researcher report submissions, administering the Alzheimer Society Research portal, and providing administrative and clerical services to committees, conferences, and other meetings as needed.

The position plays a key role in working toward the organization’s vision of “a world without Alzheimer’s disease and other dementias” and the Research mandate of the Alzheimer Society of Canada (ASC) which is to administer the Alzheimer Society Research Program (ASRP).

Essential Duties and Responsibilities:

  • Provides administrative support to the Alzheimer Society Research Program (ASRP) including information management, document support and tracking, and general clerical support
  • Assists with the coordination of the annual research competition peer review process, overseeing the recruitment, training, and organization of the Citizen Reviewer program (people with lived experience of dementia)
  • Administers quarterly payments to ASRP grant and award recipients and tracks the submission of progress, final, and financial reports
  • Organizes, maintains, and manages departmental information storage and retrieval systems i.e., updating the online Canadian Research Information System (CRIS) and the internal ASRP database
  • Develops reports by analyzing statistical information, as assigned, using grants and awards platform
  • Assists in the creation and distribution of annual ASRP Grants & Awards announcements
  • Supports and coordinates the planning and scheduling of committee meetings, workshops, seminars and conferences and preparation/distribution of meeting and conference materials 
  • Takes minutes during committee meetings and conference calls, books meeting rooms and prepares / distributes material for meetings in a timely manner
  • Adheres to guidelines in communicating with organizational partners and international researchers and investigators
  • Administers the Alzheimer Society Research Portal, including reviewing research recruitment applications and updating the “participate in research” webpage 
  • Assists with the coordination of the Provincial Support Program (PSP), including updating the Alzheimer Society federation intranet with research tools, resources, and news and answering emails from provincial and local Alzheimer Society staff
  • Assists with the administration and coordination of the Dementia Talks! Canada webinar series.  Assists with special project work, as assigned

Job Qualifications

Education: 

  • Completion of a university degree 
  • Equivalent combination of education and experience will be considered

 Experience: 

  • At least two years or related experience in an administrative support role where you ideally supported a team
  • Previous experience working within a research granting program and/or research environment, particularly in a not-for-profit organization, is an asset

Other Knowledge, Skills, Abilities or Certifications: 

  • Excellent writing, editing skills, MSOffice skills (PowerPoint, Word, Excel, Outlook), to assist in creating compelling presentations, letters, emails, and communication materials on behalf of the Research Department
  • Excellent verbal and written communication
  • Strong Attention to detail
  • Ability to maintain confidential information
  • Ability to take initiative, work proactively, and anticipate the needs of Supervisors and external stakeholders
  • Ability to be productive while working in a busy workplace environment with multiple and competing demands 
  • High level of interpersonal skills
  • Experience using JotForm, SurveyMonkey Apply, Zoom Video Communications, and Microsoft Teams is a strong asset
  • Knowledge of Alzheimer disease and related dementias is an asset
  • Experience working with people with lived experience of dementia is an asset Written and verbal bilingualism (English/French) is an asset
